Yesterday I promised you the exact ChatGPT prompt I use when a client sends confusing instructions.

Here it is:

"My client sent me this message: [paste their message here]. I need to ask for clarification, but I don't want to sound like I don't understand or seem incompetent. Help me write a short, professional reply that asks the right questions to understand what they actually need."

That's it. Copy. Paste. Done in 30 seconds.

Before I started using this, I'd stare at confusing client messages for 20 minutes. Trying to figure out what they meant. Scared to ask because baka sabihin, "di mo gets?"

Now? I paste their message, get a draft, tweak it slightly, and send.

Two minutes. Maybe three.

Here's the thing most VAs don't realize: asking good questions makes you look more professional, not less. Clients respect VAs who clarify upfront instead of guessing and delivering the wrong thing.

The prompt helps you ask those questions without sounding unsure.

I'll be honest — when I first tried AI for client emails, I didn't believe it would work for my situation. My clients are different. My English is fine. I don't need help.

Then I timed myself.

3 hours on client emails. In one day.

Not writing reports. Not doing actual work. Just... emails.

After two weeks of using prompts like the one above? 20 minutes total.

That's not exaggeration. That's math.
