Move 1: Acknowledge Before Solving

What it is: When a client sends a request, send a quick "got it, on it" before disappearing to do the work.

Why it matters: Silence after a request feels like neglect. A 10-second acknowledgment buys you hours to do the work right.

AI prompt:

"Help me draft 4 short client acknowledgment messages in my voice. Tone: warm but professional. Each under 20 words. Each should buy me time to do the work properly without sounding dismissive."

Save the 4 you like. Reuse them.

🤔 Move 2: Name Uncertainty Out Loud

What it is: When you're not 100% sure of an answer, say so. "I think it's X — let me verify before I act."

Why it matters: Confident-but-wrong destroys trust. Honest-and-checking builds it. Clients trust the VA who admits limits — because then they trust your certainties too.

AI prompt:

"Here's what I'm unsure about: [paste]. Help me say this to a client in a way that's honest but professional. I don't want to sound incompetent — I want to sound careful."

📩 Move 3: Follow Up Unprompted

What it is: Send updates the client didn't ask for. Not vague check-ins. Specific status.

Why it matters: Out of sight, out of mind, out of budget. Unprompted updates remind the client you exist AND are working.

AI prompt:

"Here's what I did today for client [X]: [paste]. Summarize into a 3-line update for them. Tone: professional, not over-explaining. Include what got done, what's next, anything I flagged."

🎯 Move 4: Ask Questions That Show You Read the Brief

What it is: When you ask a clarifying question, prove you actually engaged with what the client sent.

Why it matters: "Can you clarify?" feels lazy. "I noticed you mentioned [specific detail] — did you mean A or B?" feels engaged. Same question. Wildly different trust impact.

AI prompt:

"Here's the client message: [paste]. Draft a clarifying question that quotes one specific detail from their message, then asks for clarification on a related ambiguity. Keep it short."

📋 Move 5: Say What You DID and What You SAW

What it is: When reporting completed work, don't just say "done." Say what you did + what you observed during.

Why it matters: "Done" is invisible. "Sent the emails — 2 bounced, here are the addresses to fix" shows judgment. The second one is what gets you the rate increase.

AI prompt:

"Here's the task I just completed: [paste]. Help me write a 2-sentence report for the client. First sentence: what I did. Second sentence: what I observed that's worth flagging."

🎯 Which one should you pick?

Brand new to client work? → Move 1 (Acknowledge). Easiest to spot. Fastest payoff.

Already running a retainer? → Move 5 (Did + Saw). Most underused. Most rate-affecting.

Multiple clients juggling at once? → Move 4 (Engaged Questions). Biggest mistake-saver.
