Today, I'm handing you the 3-message system that turns that sentence — plus your existing trust — into referrals.

Each message has its moment. Each one has an AI assist. Pick the ONE that fits where you are right now.

Save this email. Screenshot it. Forward it to your VA group chat. This is the playbook.

📬 Message 1: The Ideal Client Heads-Up

When to send: Once, at the start of a new client relationship — or now, if you've never told an existing client.

What it is: A short, casual message telling your client (or past client) WHO else you serve well, so they know who to send your way if they hear about a fit.

Why it matters: Clients can't refer you if they don't know what kind of work you're looking for. This removes the guessing.

AI prompt:

"Help me write a short, casual message to my client telling them the kind of clients I love working with. I want them to know who to send my way if they hear about a fit. Tone: warm, professional, not pushy. Under 100 words. My ideal client: [paste your ideal client description — industry, founder type, scope of work]."

Works for: Both retainer and project VAs. Send to anyone you've worked with — current or past.

🎯 Message 2A: The "Just-After-a-Win" Ask (Retainer VAs)

When to send: Right after you deliver something the client praised, hit a milestone, or got a rate increase approved.

What it is: A short message that thanks them for the moment, then plants the referral seed — without making it the main point.

Why it matters: Asking during a "moment of momentum" is the difference between an awkward ask and a natural one. The client is already feeling good about you.

AI prompt:

"I just delivered [WIN/PROJECT] for my retainer client and they responded positively. Help me write a short follow-up that thanks them, then casually mentions I'd appreciate it if they think of me when they hear of others who might need help. Warm tone. Not salesy. Under 80 words."

Best for: VAs with ongoing retainers, recurring contracts, monthly engagements.

📦 Message 2B: The Wrap-Up Ask (Project-Based VAs)

When to send: At the close of a successful project — when the deliverable just landed and the client is satisfied.

What it is: A natural project-close message that pairs the testimonial ask with the referral ask. Two birds. One moment.

Why it matters: Project end is when satisfaction peaks. You're already wrapping up — adding a thoughtful close costs nothing and opens two doors at once.

AI prompt:

"I just wrapped a project for a client. Help me write a project-close message that thanks them, asks if they'd be open to a quick testimonial I can use, and mentions I'd love an introduction if they know someone else who might need this kind of work. Warm, not salesy. Under 100 words."

Best for: Upwork VAs, freelance/contract work, one-off engagements.

🤝 Message 3: The Thank-You Loop

When to send: Whenever someone refers you OR introduces you to someone (even informally).

What it is: A specific, warm thank-you that acknowledges what they did AND keeps the door open for more.

Why it matters: Most VAs say "thanks!" and move on. The VAs who keep getting referrals make the referrer feel seen. Recognition compounds.

AI prompt:

"My client [REFERRED ME / INTRODUCED ME TO SOMEONE / RECOMMENDED ME PUBLICLY]. Help me write a short, warm thank-you that's specific to what they did. Keep it under 60 words. Make them feel appreciated without being over-the-top."

Works for: Everyone. The minute someone refers you — current client, past client, friend in the industry — this fires.

🎯 Which one should you send this week?

Never told anyone your ideal client? → Start with Message 1. Send to your best 1-3 contacts.

On retainer + just hit a win? → Send Message 2A within 48 hours.

Just wrapped a project (or about to)? → Send Message 2B as part of your close.

Someone already referred you recently? → Don't let it go cold. Send Message 3 today.

Don't run all 3 at once. Pick the one that fits the moment you're in right now.

Try this: Pick ONE message. Set up the AI prompt. Send it this week. Even just one. Hindi kelangan perfect — kelangan lang na-send.

Watch what happens. Sometimes it's silence. Sometimes it's "hey, actually, I know someone..." You won't know until you try.
